Track vendor and subcontractor insurance

Collect certificates of insurance (COIs) and get flagged when coverage is too low.

← All help articles

The Vendors page keeps current certificates of insurance and licenses on file for the subcontractors, contractors and suppliers you work with.

Add a vendor

  1. Go to Vendors and click “+ Add Vendor”.
  2. Enter their business name and the email that should get requests and reminders.
  3. Leave “Track their certificate of insurance” and “Email them a link to upload it now” checked, then click “Save vendor”.

The vendor (or their insurance agent) opens the link, uploads the certificate, and it shows up on your Attention page for review. No account or password needed.

Set your insurance minimums

  1. On the Vendors page, click “Insurance minimums”.
  2. Enter the coverage you require, like $1,000,000 general liability per occurrence, and check “additional insured” if you need to be named on their policy.
  3. Click “Save minimums”. Check “Also use these for vendors I’ve already added” to update existing vendors too.

When a certificate comes in, the AI reads the coverage amounts and shows a check next to each one. Anything below your minimums is flagged in red before you approve it.

Tip: The insurance check helps you spot problems. It doesn’t verify policies with the insurance company, so open the certificate to double-check anything important. Your insurance agent can tell you what limits to require.

Other vendor documents

Need a vendor’s contractor license or other documents too? On the Requirements page, click “+ Add Requirement” and choose the vendor under “Belongs to”.
