Free Employee Certification Tracker (Excel & Google Sheets)
Track every employee license, certification and insurance policy in one spreadsheet. Enter the expiration date and the tracker counts down the days and color-codes what’s expired, due within 30 days and due within 90 days.
What it looks like
What’s included
- Employee: Who holds the credential
- Credential / License: e.g. CPR, OSHA 30, forklift, CDL, trade license
- Issued By / Cert #: The issuing body and number
- Issue & Expiration Date: Enter the expiration date and the rest fills in
- Days Left & Status: Calculated automatically every day
- Responsible Manager: Who follows up
- Document Link: A link to the scanned copy
- Automatic colors: red = expired, orange = within 30 days, yellow = within 90 days
- A “How to use” tab with step-by-step instructions
How to use it
- Delete the 3 example rows.
- Add one row per credential, not one row per employee. If Jane has CPR and a forklift license, she gets two rows.
- Type each expiration date. Days Left and Status update on their own every day.
- Sort by Expiration Date or filter by Status to see what’s coming up.
- Set a 15-minute calendar reminder every Monday to review the next 30 days and follow up with those people.
Using Google Sheets?
Open Google Sheets, click File → Import → Upload, and choose the file. The formulas and colors come with it.
Where spreadsheets fall short
A spreadsheet only works if someone remembers to open it, chases each person before their deadline, and collects the new certificate. That’s the part that slips when things get busy. Also see DueLantern vs. a spreadsheet.
Want the reminders to send themselves?
DueLantern reads expiration dates from your documents, emails each employee before something expires with a private link to upload the renewal from their phone, and alerts you if anything is overdue.
